Behind the Scenes: How Automation Powers Appliscale

At Appliscale, we work hard but we don’t believe in making life harder than it needs to be. That’s where automation comes in. From reducing admin to streamlining engineering workflows, automation (and increasingly AI) helps us remove friction so our people can focus on doing their best work.

Here’s a behind-the-scenes look at how automation powers Appliscale, both internally and in the projects we deliver for clients.


Making Life Easier Inside Appliscale

Employee Portal & Smarter CVs

Our employee portal is a web app integrated with Airtable, Slack, and Google Drive, where people can update skills, track projects, and check holidays. Its standout feature is an automated CV generator that instantly builds resumes from up-to-date records.

Every Appliscale engineer has a CV that stays up to date automatically. When someone joins a new project, the system updates their CV with the new details. That saves time and ensures that when we present engineers to clients, their CVs are always accurate.

Time Tracking without the Headache

Logging hours is essential, but often painful. Since our company is remote-first and most of our day-to-day happens in Slack, we built Michal Bot, a Slack bot powered by Airtable and AWS, to make time logging effortless right where we work.

With a simple command, engineers log their work hours or absences. Bulk edits make it easy to update multiple days at once, saving time otherwise spent on daily logging. The bot automatically prompts users if something looks incomplete and sends reminders when entries are missing. All logs flow directly into accounting, where invoices are automatically generated for each client’s template. Our finance team can still adjust, but most of the admin work is done for them.

Managing Subscriptions and Expenses

Engineers often need specialist tools or courses for personal development. With Michal Bot, they can request and manage subscriptions directly in Slack, no admin bottlenecks, fully self-service and transparent. Integrated with the Revolut API, the bot generates unique virtual card numbers that simplify billing and keep details secure, while admins get notifications and users can act independently within safe budget limits.

Recruitment & Onboarding

Automation has transformed how we hire and onboard. Interviews are scheduled automatically, paperwork is routed instantly, and once an offer is accepted, records update across recruitment, HR, and onboarding systems. 

On day one, a company email account is created without manual setup. We also take special care with personal data, it’s collected only once, stored securely, and reused across all documents, so new hires aren’t repeatedly asked to share sensitive information. This reduces admin work and ensures a smoother, safer experience for every employee.

Other Internal Automations

  • Protocols for contractors: generated automatically each month from CSV data.
  • Reminders: anniversaries, benefits, or missing timesheets are handled by automated alerts.
  • Onboarding buddies: partly automated to reduce the manual workload of setting up new colleagues.

Helping Engineers Focus on Code

Automation isn’t just about admin — it’s central to our engineering work for clients too.

Code Quality & Deployment

GitHub workflows automatically check pull requests for formatting, test coverage, coding standards, and even Terraform configurations. Engineers don’t need to manually comb through everything — the system flags issues instantly.

In some projects, we also use CodeMagic to automate deployments after merges. It updates databases, applies Terraform changes, runs setup functions, and even pushes new versions to app stores. That means less manual work and fewer errors in the release process.

AI in Knowledge Sharing

Our weekly knowledge-sharing sessions also get a little automation magic. Schedules go into a table, and AI turns them into announcements for the team. It’s a small detail, but it keeps things smooth and consistent.

Personal Automations

Many engineers create their own small automations, from cron jobs to AI-powered coding assistants. These aren’t company-wide, but they reflect the culture: if something slows you down, find a way to automate it.


Choosing What to Automate

Not everything needs automating. We decide based on:

  • Time cost – if it takes hours each month, it’s a candidate.
  • Repetition – repetitive processes are prone to error.
  • Pain points – if people keep complaining about a task, we fix it.

We also design automations to be flexible and adaptable, so they evolve with our processes. Of course, systems change and things break — so maintenance is part of the process. Automation at Appliscale isn’t one-off, it’s ongoing.
