Building a Thriving Remote-First Culture at Appliscale: Why It Matters for Our Clients

At Appliscale, being remote-first isn’t just something we fell into—it’s a strategy we’ve intentionally shaped to deliver exceptional results for our global clients, particularly those in the US. Long before remote work became the norm, we saw it as a way to bring the best people onto our team, no matter where they lived. Over time, we’ve learned a lot about what it takes to make remote work not only functional but enjoyable for everyone involved. It hasn’t always been easy, but the result is a culture we’re really proud of and one that works.
Here’s how we’ve made it happen.
Technology: The Tools That Bring Us Together
When you're working remotely, the right technology isn't just a luxury, it's a necessity. We've carefully selected and tested a suite of tools to ensure seamless communication, collaboration, and project management. At the core of our operations is Slack, keeping us connected in real time. For project organization, Airtable help us stay on top of tasks and deadlines. Developers rely on GitHub for code collaboration, while Notion and Miro serve as hubs for brainstorming and knowledge sharing.
These systems have been intentionally selected to remove barriers and streamline workflows, allowing us to focus on delivering exceptional results for our clients.
Autonomy: Enabling Our Team to Deliver for Clients
At Appliscale, autonomy isn’t just about giving our team flexibility—it’s about enabling them to prioritize what matters most: our clients. We empower our team with clear goals, deliverables, and client priorities, ensuring they can tailor their time and efforts to meet those needs effectively.
While our team members have flexibility in how and when they work, this is always aligned with our clients’ expectations and schedules. By fostering a culture of accountability and trust, we ensure that our team can quickly pivot, respond to changes, and deliver exceptional service without being bound by rigid structures.
This approach means we’re not only agile but also deeply committed to understanding and meeting the unique needs of every client we work with.
Information Flow: Keeping Everyone in the Loop
When you’re remote, good communication doesn’t just happen—it needs structure. We’ve worked hard to ensure that everyone at Appliscale has quick access to the information they need to hit the ground running and start delivering for clients. This begins with a centralized knowledge base in Notion, where we keep everything from processes to project documentation up to date and easily accessible.
To support efficient onboarding and alignment, we make time for regular check-ins, including daily standups and weekly team updates. And because we know not everyone works the same hours, we prioritize asynchronous communication. By recording meetings, documenting key updates, and sharing progress, we ensure that all team members, regardless of time zone, stay in the loop.
Asynchronous communication also benefits our clients. We provide regular, condensed updates that allow them to stay informed without needing to attend additional meetings. Clients receive deliverables, key questions, and options on how to proceed, minimizing their meeting time while keeping them aligned with project progress. If a meeting is necessary, it's typically to demo work or discuss issues that can’t be efficiently resolved in a Slack conversation.

We also believe in learning from each other. Cross-team knowledge sharing, mentorship programs, and open feedback channels are all part of how we make sure great ideas and experiences don’t stay siloed but benefit the whole company and, ultimately, our clients.
Ownership and Accountability in Communication
At Appliscale, we believe that active participation in communication by every engineer benefits our clients directly. By ensuring that all team members contribute to discussions and updates, we eliminate the need for project managers to constantly chase down progress or status reports. This means clients receive timely, transparent, and accurate information without delays.
By not relying on team leads or project managers to handle all communications, we create a more efficient flow of information, where everyone takes responsibility for their part. This distributed ownership leads to faster responses, fewer bottlenecks, and ultimately, a more streamlined experience for our clients.
Community: Staying Connected
One of the biggest challenges of remote work is making sure people still feel connected to each other—and not just as coworkers, but as people. At Appliscale, we’re intentional about building community.
We organize regular in-person and virtual activities, from game nights to cooking classes, that give everyone a chance to relax and have fun together. We also run an onboarding buddy program to make sure new hires feel welcomed from day one. Beyond that, we make space for informal conversations with dedicated social channels in Slack.
And while most of our work happens online, we love bringing people together in person when we can. Whether it’s a team day-trip or a monthly meetup, these moments are a chance to connect, collaborate, and remind ourselves why we love working together.
Flexibility: Work Where and How It Works for You
We’ve always believed that remote work should come with flexibility. After all, that’s one of the biggest benefits! At Appliscale, we support our team in setting up work environments that suit them, whether that’s from home, a coworking space, or somewhere else entirely.
“Even though I really enjoy working from the office – meeting people in-person and brainstorming on a white-board – I would never give up the flexibility of being able to work fully remotely", says Max Wojczuk, Tech Manager and Java Developer. "Throughout my time at Appliscale I have worked from many different countries – the first being Portugal during my Erasmus – allowing me to enjoy getting to know the culture of people from all around the world as well as being able to make my dreams come true of spending longer time abroad throughout my life at the same time having a stable working place at home!"
We also recognize that life doesn’t always fit neatly around a 9-to-5 schedule. That’s why we give people the freedom to adjust their working hours to meet personal commitments.
